Section 1: Introduction

Welcome to your new phone system and devices. This manual is meant to be a quick

start guide for the Fanvil X3U/X4U VOIP phones. We aim to familiarize users with the main buttons, screens, and overall operation of the devices.

In Call Screen

Section 2: Operation

2.1 Main Buttons-X3U Pro

Please Refer to the figure and table below for the names of buttons referenced throughout this manual. The table will show the corresponding number to the button in the figure as well as give a brief explanation of the function of the buttons.

Soft-menu Buttons

These four buttons provide different functions corresponding to the soft menu displayed on the screen.

Hold Key

Press the "Hold" key during the call, the user can hold the call, and press it again to cancel the holding and restore the normal call state.

Transfer Key

Press the "Transfer" button, the user can transfer the current call to other numbers.

Conference

Press the “Conference” button to initiate a conference call of 3 people.

Navigate / OK Keys

The user can press the up/down navigation key to change the line or move the cursor in the menu lists. On some Settings and text editing pages, the user can press the left/right navigation key to change options or move the cursor in the screen list to the left/right. OK key will confirm selection. Quick pressing or long pressing directional keys on each of the different screens will also perform different operations.

Phonebook Key

Press the "Phonebook" button, and the user enters the interface of contact.

Call Logs Key

Users can press this key to enter call log interface.

Standard Telephone Keys

The 12 standard telephone keys provide the same function as standard telephones, but further to the standard function, some keys also provide special function by long-pressing the key, Key # - Long-pressed to lock the phone.

Voicemail Key

Press the "Voicemail" key, the user can enter voicemail interface or listen to the voicemail.

Headset Key

Users can press this key to open the headset channel. See FAQ for more information on operation.

Status Key

The user can press this key to view the status information of the device.

Redial Key

Press the Redial key to redial the last number dialed.

Speaker / Hands-free Key

The user can press this key to open the audio channel of the speakerphone.

Volume Up / Volume Down Keys

In the standby state, ring and ring configuration interface, press these buttons to increase/reduce the ring volume; Press these buttons to increase/lower the volume on the call as well.

Mute Key

During a call, the user can press this key to mute the microphone.

2.2 Main Buttons X4U

Press the “voicemail” button and the user enters the interface of SMS and voicemail list.

Numeric Pad

The 12 standard telephone keys provide the same function as standard telephones, but further to the standard function, some keys also provide special function by long-pressing the key, Key # - Long pressed to lock the phone.

DSS Key

These are Programmable Short Keys. They have been pre-configured to Parks, then queues, and finally individual users. These can be reprogrammed to fit the user preference.

DSS Key Page

Pressing this key will cycle through the 6 pages of programmable DSS keys.

Redial Key

Press the Redial key to redial the last number dialed.

Speaker / Hands-free Key

The user can press this key to open the audio channel of the speakerphone.

During a call, the user can press this key to mute the

Volume Up

Long Press the side keys to enter the settings interface and set the required functions. These have been pre-configured to call the different departmental queues. This will transfer calls to the all users of the selected department.

Section 3: Screens

3.1 Desktop / Idle Screen

Please refer to the images and captions below to become more familiar with the desktop/idle screens of each of the Fanvil devices.

3.1.1 X3U

This is the main or desktop screen for the Fanvil X3S. Here you will find much of the pertinent information needed for your everyday use.

In the top left you will see the user’s name. You will also find the date and time in the middle of the screen. If any of this information is incorrect, please reach out to your IT professional.

The arrow in this screenshot is pointing to the LAN symbol. This symbol indicates the connectivity status of your phone and will change if not properly connected. If the symbol has an “!” within the icon, please contact your IT professional as soon as possible.

In this screenshot users can see the amount of Missed Calls on their device from the icon in the center of the desktop screen.

The History soft key will show all previous calls made and missed made from and to the device. Press the history button to clear the missed calls icon.

The DIR soft key is used to access the Phonebook pre-loaded onto the device. More about the phonebook in the section about menus.

The Menu soft key is used to access the phones menus in order to configure settings of the device.

The VMAIL soft key is used to access the user’s voice mail. The default pin is 0000 unless changed by the user.

3.1.2 X4U

This is the desktop/idle screen of the X4U VOIP device. In the top left you will see the user's name displayed. In the top center both the date and time will be displayed. Lastly, the top right will have a LAN icon. If any of this information is incorrect, or the LAN icon has “!” within it, please reach out to you IT professionals.

The highlighted items in this figure indicate icons for corresponding information. From left to right, the icons are as follows: Call History, SMS, Voicemail, and DND.

The Call History will indicate if there are any and quantity of missed incoming calls.

The SMS icon will indicate if there are any unread SMS messages.

The Voicemail icon will indicate if there are any and quantity of unheard voicemails.

The DND icon will indicate if Do Not Disturb is active or disabled.

The highlighted items in this figure indicate the side keys of the device. These can be customized to specific operations by the user. These buttons have already been pre-configured.

The Call Log soft key will show all previous calls made/missed from and to the device. Press the history button to clear the missed calls icon.

The Contact soft key is used to access the Phonebook pre-loaded onto the device. More about the phonebook in the section about menus.

The DND button is used to enable the Do Not Disturb Function. Enabling this button will force all incoming calls to either a secondary device or to the users Voicemail.

The Menu soft key is used to access the phones menus in order to configure settings of the device.

3.2 In-Call Screen

3.2.2 X4U

Section 4: Settings and Menus

4.1 X3U

Main Menu Status Option. This will show relevant network information about the device including the device's IP address and connection mode.

Main Menu Agent Option will show information about the Line for that particular device. This includes the users name, extension, and status.
